Trad AI ("the Company") is committed to protecting the confidentiality, integrity, and privacy of the personal data of its clients who utilize our translation service Trad AI (“Translation service”) based on the Application Programming Interface (API) of ChatGPT version 4. This Policy of Confidentiality outlines our commitment to compliance with the General Data Protection Regulation (GDPR) and provides an overview of how we collect, process, and protect personal data.

2. Definitions

2.1. 3.1. We collect personal data from clients for the sole purpose of providing our translation services effectively and ensuring the highest level of customer satisfaction. The personal data we may collect include but are not limited to:

3.4 The texts entered by you in our application subject to the politics of Open AI: “OpenAI will not use data submitted by customers via our API to train or improve our models... Any data sent through the API will be retained for abuse and misuse monitoring purposes for a maximum of 30 days, after which it will be deleted (unless otherwise required by law).”

4. Processing of Translation Data

4.1. Clients may submit text and content for translation using our translation service based on the ChatGPT version 4 API. We understand the sensitivity of translation data and adhere to strict confidentiality measures.

4.2. Our integration with the ChatGPT version 4 API enables the translation process, but we do not store or retain translation data beyond the completion of the translation request.

4.3. We do not use translation data for training or improving our models unless explicit consent is obtained from the client.

5. Disclosure of Personal Data

5.1. We do not disclose personal data to third parties unless:

  • Required by law or authorized by the client
  • Necessary for the provision of translation services (e.g., engaging trusted subprocessors)
  • Required to protect our legitimate interests, including legal rights and obligations

5.2. When personal data is disclosed to subprocessors or third parties, we ensure that appropriate safeguards and contractual agreements are in place to protect the confidentiality and security of the data.

6. Data Security Measures

6.1. We implement technical and organizational measures to ensure the security, confidentiality, and integrity of personal data. These measures include but are not limited to:

  • Right to erasure: Clients can request the deletion or erasure of their personal data when it is no longer necessary for the purposes for which it was collected, when consent is withdrawn, or when there are no overriding legitimate grounds for processing.
  • Right to restriction of processing: Clients can request the restriction of processing their personal data in certain circumstances, such as when the accuracy of the data is contested or the processing is unlawful.
  • Right to data portability: Clients have the right to receive their personal data in a structured, commonly used, and machine-readable format, and to transmit that data to another data controller, where technically feasible.
  • Right to object: Clients can object to the processing of their personal data based on legitimate interests or direct marketing purposes. In such cases, we will cease processing unless we can demonstrate compelling legitimate grounds that override the interests, rights, and freedoms of the data subject.

8. Retention of Personal Data

8.1. We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws and regulations. When personal data is no longer required, we will securely delete or anonymize it to ensure continued confidentiality.
